How to create a form containing property fields
Solution How to create a form containing property fields.

Applies To:
Info-Retriever 2008

Question:
Using the Forms feature, how do I create a custom form that contains both Contact and Property information?  When I try to do this with a custom contact form, a warning appears when I try to create the form, and the property fields are blank.

Explanation:
"Contact" forms can only include Contact fields.  However, "Property" forms can include both contact and property fields.  This is because a contact can be linked to several properties, in which case Info-Retriever would have no way of knowing which property to include on the form.  (Note that unlike the regular mail merge feature, the Forms feature can only create a form for a single contact and property at a time.)

Solution:
If you wish to create a custom form that includes both Contact and Property fields, you must do so from the Properties screen.  In otherwords, you must create a custom property form, not a custom contact form.

Instructions:
  1. Switch to the Property view by clicking the Property icon on the sidebar menu.
  2. Select the Forms menu and then Edit Forms Template.
  3. Choose the form you wish to edit or create from the list and click OK.
  4. Now click Ctrl+M and add the contact and property fields that wish to include on the form.
To use the new form:
When you are ready to use the new form, you must call it up from the Properties screen instead of the Contacts screen.
  1. Go to the Properties screen and look up the Property that you wish to create the form for.
  2. Select the Forms menu, and then select the form you wish to create.

The form will be created for the Property and its associated contact.  Note that the Contact that is linked to the Property will be used, which may be different than the contact currently displayed in Info-Retriever's contact screen.  If there is no contact associated with the property, then any contact fields on the form will be left blank.
